Overview
NetSuite is an incredibly powerful platform which manages your billing, fulfillment, and invoicing process. As a result, it is important to understand how Zamp integrates with your NetSuite to guarantee accurate and timely filing.
How Zamp Interacts with your NetSuite
Zamp is a standard SuiteBundle that can be installed in your NetSuite, and can be installed on both Legacy tax and SuiteTax accounts.
Pre-Installation
Before even installing the bundle on your NetSuite, all of the below should be complete and documented by your team and Zamp. A successful scoping period can guarantee a smooth go-live!
An Installation call shouldn't be scheduled unless the items below are complete.
Task | Deliverable | Additional Notes |
NetSuite Questionnaire | Questionnaire is fully completed and reviewed by Zamp. | Access the questionnaire here. |
Standard vs. SuiteTax | Confirm which tax type is active in NetSuite. | Confirming SuiteTax or Standard Tax. If SuiteTax is enabled, navigate down to SuiteTax-Specific Checks. |
Confirm Sales Channels | Documented number of sales channels, which platforms, how data is pushed into NetSuite, and how tax is calculated for each. | |
Target Go-Live Date Set | Production Go-live Date has been noted by all teams. | If possible, try to aim for at least 2-weeks of implementation and testing. |
Sandbox Confirmation | A sandbox is available for installation and testing, OR a plan to test in production has been agreed upon. | When a previous tax provider is installed on NetSuite, there is often no way to test without removing the previous provider. This makes production testing more difficult. |
Before Your Designated Start Date
Once the bundle is installed, a few tasks must be completed before data is used for filing. This is to ensure transactions are properly classified regardless of whether Zamp is handling tax calculations or not.
Product Tax Code Mappings
Regardless of what percentage of transactions are having tax calculated by Zamp, you need to map your products to Zamp Tax Codes. This allows Zamp to accurately apply the correct rules and rates when actually populating your returns.
If you are invoicing directly out of NetSuite, product tax codes are how Zamp will know the taxability of your items.
Customer Exemptions and Entities
If you are selling to exempt customers on other platforms and directly within NetSuite, you must map exemption or entity codes to your customers. If this is not done before going live, your data will not be properly classified as exempt in Zamp, which can heavily impact the information populated on each sales tax return.
Marketplace Sale Mapping
Selling on Marketplaces? Whether it be importing sales through a connector or manually uploading transactions into NetSuite, you will need to classify these sales with a Zamp | Marketplace code. Similar to exemptions, this will ensure these sales are properly populated on each return.
Unsure if your method of transaction import can support this mapping? Talk to Zamp as soon as you can to see what your options are!
SuiteTax-Specific Checks
If SuiteTax is enabled for your NetSuite, review the below, and share your findings with the Zamp team before the installation call! It will make the session more productive and efficient.
How many Nexuses does your account have configured?
To handle tax calculation with SuiteTax enabled, we will need to set a Valid Until date for each nexus.
How far into the future do you have transactions?
This is helpful, as part of the installation process is marking an end-date for each nexus that Zamp will be calculating tax on. A nexus cannot be marked as inactive before the last date of a transaction that uses that nexus.
